Child protection is key in all that we do.Working in Zambia since 1996, Plan International Zambiaâ€™s development and capacity building programmes focus primarily on Education, Health, Water and Sanitation, Economic Security and Youth Empowerment, including Child Protection and Participation. Plan International Zambia has programme areas (PAs) in; Central, Luapula, and Eastern Provinces including in Lusaka, where the Country Office is located.Â Dimensions of Role:TheÂ Business Development CoordinatorÂ reports to the Business Development Manager. The Business Development Coordinator is responsible for the identification of new funding opportunities, development of opportunities such as proposals, concepts to donors (including institutional, corporate, multilateral, and, foundations, etc.), Development of Fund Agreement Documents and monitoring to ensure contracting is finalized between National Offices (NOs) and Plan Zambia; providing support to grants set up, grants Â management and compliance. The incumbent will also act as a liaison between Grants Department and Business Development Department to ensure there is a harmonized coordination between the departments especially during proposal development (including developing proposal budgets), contracting and hand over of contracted projects to the Program leadership and project staff.Â Typical Responsibilities - Key end Results of the Position:Â Resource mobilizationAlong with the Business Development Manager, Identify and build relationships with relevant stakeholders including INGOs, CSOs, government departments and donors for strategic partnerships on co-funding applications, resources mobilization and projectsâ€™ delivery.Â Support the development of opportunities such as proposals, concepts to donors (including institutional, corporate, multilateral, and, foundations, etc.).Prepare and develop concept notes and other proposal write ups including proposals;Monitor, document and highlight new business development to ensure that Plan International Zambia is abreast of new opportunities in line with Plan International Zambia s strategic focus;Support the effective tracking of opportunities on Plan International Zambia international institutional donors pipeline tracking tool on Plan s Grant Management Tracking portal whilst ensuring accurate information on databases;Work with the Quality Effectiveness Manager and the program team to extricate program learning and evidence to support quality and innovativeness of funding concepts and proposals.Â Compliance MonitoringDevelop Fund Agreement Documents and monitor to ensure contracting is finalized between National Offices (NOs) and Plan Zambia;Act as a liaison between Grants Department and Business Development Department to ensure there is a harmonized coordination between the departments especially during proposal development (including developing proposal budgets), contracting and hand over of contracted projects to the Program leadership and project staff;Support the setting of up new projects in the systems, and start up workshops with the program team and designated project staff and other Plan International key staff.Provide ongoing support to Plan field staff and partners on understanding donor financial compliance, identifying financial risks and other best practices related to grant management and organisational development relevant to Plan Zambia project implementation.Visit project sites as needed to assess utilization of funds and provide to support Partner organizations and relevant PU staff in the development of high quality progress reports (financial and narrative) to ensure effective budget utilisation, Â accurate and timely reporting of program finances and progress status.Ensure that all reporting deadlines are met on time and that reports meet highest standards and quality as outlined in reporting guidelines.Â Review donor and partner agreements ensuring the financial terms and conditions are compatible with Planâ€™s systems and are favorable to quality implementation and reporting.Support Partner organizations in the development of progress reports (financial and narrative) reports with the relevant PU staffÂ Project Management:Support a high performing team and ensure all relevant departments have the necessary knowledge and skills to acquire and implement sustainable grant funding;Identify staff training needs and Work together with the Business Development Manager to identify and coach Plan Zambia staff on grants acquisition to ensure there is a steady pool of staff to support the department in its fundraising efforts.Participate in regular team meetings and contribute to the overall smooth operation of the department.Support in the development of training materials for staff on Business Development and mentor staff in proposal development as needed;Take an active role to develop and keep up to date on trends, issues, and solutions pertaining to Plan s Areas of Distinctiveness.Ensures that Plan Internationalâ€™s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.Â Partnerships and External RelationshipsEstablish/maintain excellent working relationships with the cCLT, Program teams, Grants team, Programme Area and other relevant units within Plan Zambia, National Organisation counterparts within the federation, and with the Country Director for appropriate high level client engagement.Develop and manage partnerships and purposeful relationships with NOs, partner organisations, Government, and other stakeholders.Conduct regular meetings with implementation partners to discuss emerging compliance risks/issues in the implementation of funded projects;Support capacity development of partners in Planâ€™s administrative and operational procedures and policies, as well as applicable donor regulations; and ensure total compliance PIan and donor financial policies and procedures.Support documentation and dissemination of outcomes and impact of projects within Plan and for other relevant partnersÂ Performance IndicatorsTimely submission of high quality agreed on reporting documents (e.g. financial reporting elements, narrative reports, mission reports, etc.) as per stipulated donor guidelines that comply with the donor requirements.Donor funding is secured through development of strong proposals and effective networking with donors and strategic partners.Evidence of lessons learnt from evaluationÂ being used to adapt ongoing programmes and inform future programme development.All donor grants are successfully implemented in line with the contractual agreements.Â Â Communications and Working Relationships:Internal:CO and PUs: Collaborate with Programme Managers, Quality Effectiveness, Human Resources and finance teams.Â External:Implementing partnersPlan National Organisations (Nos), donors and governmentÂ Knowledge, Skills, Behaviours, and Experience Required to Achieve Roleâ€™s Objectives:Experience and KnowledgeBachelorâ€™s degree in interdisciplinary areas within human rights, international development, Business/Development Studies and program leadership (higher will be an added advantage);5 years of demonstrable and relevant experience in managing multilateral and bilateral donor funded grants/contracts and other fund sources;Experience in engagement bilateral, multilateral donors and Foundations donors will be an added advantage;Proven experience in proposal writing, concept development, and business cases; Â Understanding of multiple donor policies and procedures particularly ECHO, OFDA, Global Affairs Canada, SIDA, DFID, USAID, EC and UN Agencies;Proven ability to develop, drive and support end to end business development processes; Proven results based client/donor relationship management;Solid understanding of compliance requirements of bilateral, multilateral donors and Foundations preferredGood understanding of gender equality programs and meaningful child participation; Knowledge of development challenges and contexts in Zambia, in particular in child rights, girl s rights and child protection;Demonstrated experience working collaboratively and supportively without the need for close supervision;Proficient computer skills and use of relevant desktop applications and internal systems.Â Skills Specific to the PostDevelops, motivates coaches and manages ProgramÂ team in the countryPartnership building and ability to build and sustain interpersonal and professional relationships with internal colleague, donor contacts and peer organisationsAnalytical and conceptual skillsGood Interpersonal / Communication skillsGood coordination skills and ability to multi-task with ease, adapting to frequently changing priorities;Good negotiation and conflict resolution skills;Good understanding of budgeting as part of bid development;Ability to effectively work with others and with minimum supervisionWorking knowledge and understanding of donor priorities and regulationsGood working experience in one of Plan International s thematic areas or a support function.Computer proficiency (MS Word, Excel)Strong planning and organizational skillsExcellent grasp of programming conceptsStrong management skills in coaching, problem solving and people managementMust beÂ a strategicÂ thinkerÂ Competencies and valuesWe are open and accountablePromotes a culture of openness and transparency, including with sponsors and donors.
